School Office Manager at Amazing Grace Academy

Core Operational Responsibilities
As the central hub of our school office, your efficiency and proactive nature will touch every facet of campus life.
Students & Enrollment Management (Preschool - 12th Grade Focus)
- Manage the full enrollment cycle (new and re-enrollment) via CCB/Gradelink information systems.
- Serve as Registrar: administer report cards, maintain cumulative records/transcripts, and track course credits for graduation (12th grade).
- Oversee student information, medical records (immunizations, allergy lists), and yearly state reporting.
Financial & Program Oversight
- Coordinate with the church accountant and notify families regarding monthly tuition invoicing and balances.
- Supervise the School Office administration of After School Care and the EZLUNCH Program.
Safety, Licensing, & Compliance
- Ensure rigorous Emergency Preparedness (maintaining supplies, coordinating monthly fire drills, and safety protocols).
- Compile and maintain all necessary documentation for State/Local Licensing (Daycare/Preschool, CPR staff certifications, fire/health inspections, planning & zoning permits, RISE staff training).
Staff & Faculty Support
- Orchestrate new employee onboarding and maintain complete employee files (CPR, time-off requests).
- Collect and submit hourly paid staff timecards to Payroll.
Communication & Event Coordination
- Serve as the primary communication liaison between the school and families.
- Schedule and coordinate major campus events, including Parent Teacher Conferences, Exordiums, and Parent Training Nights/Orientation.
- Manage the ordering of teacher supplies and maintain the school calendar/field trip coordination.
ESSENTIAL QUALIFICATIONS
- A deep and demonstrated love for children and their holistic development.
- Agreement with the school's Statement of Faith and commitment to the Classical Christian education model.
- Proven administrative and organizational excellence with exceptional attention to detail.
- Basic computer literacy is required, and full training will be provided for our student information systems (Gradelink, CCB) and internal platforms.
- Excellent written and verbal communication skills.
